Job Summary

The School Office Manager is responsible for ensuring the school office effectively serves students, parents, teachers, and school leadership. This role will include managing the enrollment and registration process, Private School Choice Program compliance support, management of student information, and maintenance of a warm, welcoming and organized front office environment. This position will also collaborate with colleagues at the Seton network to support compliance with regulations, and alignment with systems. Office Managers must successfully complete Choice Designee training requirements within first 6 months of employment.

The job will include the following duties and responsibilities:

Student Information System Management

  • Manages and maintains student information in PowerSchool, Seton’s student information system.

  • Maintains student records in accordance with federal and network-based policies, as well as audit guidelines.

  • Work with network data administrator to manage school setup, beginning of year, and end of year procedures.

    Compliance Support

  • Serve as Choice Designee to assist with ensuring financial and regulatory compliance with state and federal policies, including requirements related to Wisconsin’s Parental School Choice Programs.

  • Assist with the completion and submission of reports to network, state, and federal entities as needed in addition to providing relevant data to support instruction.

    Enrollment & Student Recruitment

  • Support student recruitment efforts including scheduling or providing school tours, participating in recruitment events, and supporting the planning and execution of enrollment activities and events.

  • Coordinate student enrollment paperwork and documentation in alignment with Choice Program documentation and student information system entry.

  • Coordinate school cumulative records.

  • Prepare and file reports as needed.

    Student & Family Relations

  • Support all school-based communications.

  • Attend to sick students, maintain necessary student medical records, and manage student medication as needed.

  • Assist with special events, translations, and special projects as needed.

    Office Management

  • Maintain a clean, warm, and welcoming front office environment

  • Assist in ordering, purchasing, receiving, and organizing materials.

  • Support the Dean of Operations and School Leader to meet school-wide operations goals.

  • Support the School Nutrition Program

  • Provide on-site support for procurement and cash collection and recordings.

  • Assist with other administrative duties as needed.

    Transportation Liaison

  • Coordinate initial set-up of bus routes, registration for transportation, and day-to day student transportation needs.

  • Maintain all necessary reports, records and files.

  • Provide customer service support to transportation users, including communication about route changes, delays, and inclement weather.

  • Be on-call for daily bus route issues beginning with early morning route through the last route of the day. This may require flexibility in work hours dependent on time of year and weather conditions.

  • Review coding of transportation invoices.

    Qualifications and Skills

  • Demonstrated attention to detail and strong organizational skills.

  • Experience with managing and entering data.

  • Experience with Microsoft Word, Microsoft Excel, Office 365, and Google docs.

  • Ability to manage ambiguity and multiple priorities inherent in entrepreneurial environments;

  • Ability to establish relationships and communicate effectively with multiple constituencies;

  • Reflective and able to execute in an efficient and effective manner;

  • Demonstrated interest in promoting academic excellence in an educational environment.

  • Demonstrated interest and ability to serve all of Seton Catholic School’s customers and constituencies.

  • Oral and written proficiency in Spanish preferred.
